Retreat Terms & Conditions

Overview

By purchasing a retreat ticket, you agree to these terms and conditions:

  • Your Ticket Includes: All items listed on the sales page at the time of purchase.

  • Cancellations & Refunds:

    • 60 or more days' notice: If you cancel more than 60 days before the retreat start date, Pasta Social Club will attempt to resell your ticket.

      • If the ticket is resold, you’ll receive a refund for the amount you paid, less a $75 processing fee.

      • If the ticket is not resold, you’ll receive 50% of the ticket value, less the $75 processing fee.

    • Less than 60 days' notice: No reselling or refunds will be allowed for cancellations made within 60 days of the retreat start date.

  • Ticket Transfers: Tickets can be transferred to another attendee, but transfers are prohibited within 60 days of the retreat start date.

  • Retreat Changes: The itinerary, accommodations, and other retreat details are subject to change due to unforeseen circumstances such as weather, vendor availability, or safety concerns.

  • Assumption of Risk: By attending, you assume all risks (including injury or illness) and agree to hold Pasta Social Club LLC harmless.

Introduction​

This Agreement, referred to as the “Agreement,” is made between the retreat organizer (“Organizer”), specifically:

And you, as a participant in the retreat (“Guest”). By purchasing a retreat ticket, you agree to abide by these Terms & Conditions, including cancellation, refund, and transfer policies.

Article 1 – Confirmation

  • To purchase a retreat ticket, you must complete the registration process via the Pasta Social Club website. Upon completing payment, you will receive a confirmation email outlining your purchase details.

  • Organizer may require additional information (e.g. dietary preferences) to finalize arrangements.

  • Itinerary details, venue information, and other updates will be communicated via email prior to the retreat.

Article 2 – Cancellations, Transfers, & Refunds

Cancellations:

  • 60 or more days before the retreat start date:

    • Organizer will attempt to resell your ticket.

      • If the ticket is resold, you will receive a refund for the amount paid, less a $75 processing fee.

      • If the ticket is not resold, you will receive 50% of the ticket value, less the $75 processing fee.

  • Less than 60 days before the retreat start date:

    • No reselling or refunds will be permitted under any circumstances.

Ticket Transfers:

  • Tickets may be transferred to another attendee, provided the transfer occurs 60 or more days before the retreat start date.

  • Transfers are prohibited within 60 days of the retreat start date.

 

Refunds:​

  • If the ticket is resold more than 60 days before the retreat start date, the original buyer will be refunded the full amount paid, less a $75 processing fee.

  • Tickets are non-refundable if cancellation occurs within 60 days of the retreat start date.

 

Article 3 – Inclusions & Changes

  • Guest's ticket includes only the items explicitly listed on the sales page at the time of purchase.

  • Organizer reserves the right to modify the retreat itinerary, accommodations, and activities due to unforeseen circumstances such as weather, vendor availability, or safety concerns.

 

Article 4 – Assumption of Risk

By participating in the retreat, Guest acknowledges and agrees to assume all risks associated with the retreat, including but not limited to:

  • Physical Risks: Injuries during physical activities, such as hiking, walking, or other excursions.

  • Travel Risks: Delays, cancellations, or issues related to transportation, including flights or transfers.

  • Health Risks: Illness, including COVID-19 or other communicable diseases.

  • Property Risks: Damage, theft, or loss of personal belongings.

Article 5 – Liability Waiver

Guest expressly agrees to hold Organizer, its employees, contractors, and affiliates harmless from any claims, demands, or liabilities arising from or in connection with the retreat.

Guest hereby acknowledges and agrees to hold harmless Grounded Hospitality, LLC for all damages to The Ground and its facilities, wares, equipment, and personnel (hereby referred to as “Facility”) resulting from Guest negligence, gross negligence, intentional misconduct, and/or their actions, whether said actions are determined to be direct or indirect, or failure to act. Guest further agrees that Guest shall be solely responsible for all damages to Facility and assumes full responsibility for all claims, demands, liabilities, or legal actions brought by Facility arising out of or related to such damages where such damages are determined to be attributable to the actions or inactions of Guest.

Article 6 – Travel Documentation

  • Guest is solely responsible for maintaining valid travel documentation (e.g. passports, visas).

  • Passports must be valid for at least 6 months beyond the retreat date. Failure to provide proper documentation is not grounds for refunds.

 

Article 7 – Travel Insurance

  • Guest is strongly encouraged to purchase travel insurance that covers trip cancellations, medical emergencies, and other unexpected events.

  • Organizer is not liable for any financial losses due to lack of insurance coverage.

 

Article 8 – Media Release

  • By attending, Guest consents to being photographed, filmed, or recorded, and grants the Organizer rights to use such media for promotional purposes.

  • Personal contact information (e.g. name, address, phone number) will not be published.

 

Article 9 – Prohibited Activities

Guest agrees not to:

  • Harass, threaten, or harm other attendees or staff.

  • Violate any local laws or regulations.

  • Transfer tickets in violation of this Agreement.

 

Article 10 – Governing Law & Disputes

This Agreement is governed by the laws of Washington, D.C.

 

Article 11 – Severability

If any provision of this Agreement is deemed unenforceable, the remaining provisions shall remain in full force and effect.

 

Article 12 – Agreement Modifications

Organizer reserves the right to update these Terms & Conditions at any time. The terms applicable to your ticket purchase are those in effect at the time of purchase.

Article 13 – Entire Agreement

This Agreement represents the complete understanding of the parties and may only be modified by a mutually executed written agreement. In entering into this Agreement, the parties represent to each other that it has not relied upon any representation whether verbally or in writing which is not contained herein.
